How are we dealing with covid-19?

Normally, Lake Frances Retreats, the host site for the Woodshed Guitar Experience, can house up to 350 people and can handle events of well over 1,000 attendees. For the Woodshed Guitar Experience, we are going to have a maximum of 125 participants. This will allow all participants as much social distancing as they desire. In addition, all events and classes will take place outside, weather permitting. If we do have weather issues, we have 30,000 square feet of well-ventilated indoor space which will allow us to continue classes with plenty of space.

Below is a summary of the guidelines we will be implementing this summer:

Cleaning and Disinfecting:

  • We are working in conjunction with a local Servpro professional to create a responsible cleaning plan. We will be disinfecting using CDC recommended and EPA approved products.
  • All facilities will be cleaned and disinfected daily. This will include a wiping down of frequently touched areas and surfaces, as well as a complete disinfectant fogging of each facility.
  • Attendees will be required to wash or sanitize hands specifically when exiting/entering buildings and prior to meals.
  • Each attendee will be encouraged to bring his/her own small bottle or spray bottle of hand sanitizer (minimum 60% alcohol). They will be able to refill it here at Lake Frances as many times as needed for free.
  • Attendees will not be required to wear masks, but are free to do so, should they choose.

30,000 sq ft Indoor Facility:

  • The size of this facility allows for significant social distancing for all participants.
  • Our eleven large garage doors will remain open throughout the summer which will maintain a very open and ventilated environment, as recommended by the CDC.
  • This facility will be utilized only when needed because of weather. Otherwise, all events and classes will take place outdoors on our 150-acre facility.

Accommodations:

  • General admission occupancy in the sleeping areas will be a maximum of 4 individuals. Typically, our largest sleeping rooms can hold up to 19 people.
  • All attendees have the option to stay at a hotel. If you are choosing the hotel option, we are working with the Hampton Inn, Crossville for your accommodations.  The Hampton Inn has instituted the Hilton Clean Stay program to help ensure a safe comfortable stay.  For more information about the policies visit their website https://www.hilton.com/en/corporate/cleanstay/

Dining:

  • Attendees will be staggered at meal times to ensure plenty of space for guests.
  • Most seating during meal times will be outside.
  • We will be eliminating all self-serve food stations and buffet style service (e.g. the salad bar). All food will be prepared and served by our dining staff.
  • Dining staff will be health screened daily.
  • State restaurant guidelines will be followed including frequent handwashing, disinfecting of surfaces, and use of gloves and required use of masks while serving.

Check-in & Check-out:

  • Our contact free check-in plan will allow attendees to check-in without close direct contact with any of our staff and without getting out of their vehicles.
  • Each attendee will receive a short health and exposure questionnaire prior to their departure to come to the event, as well as have their temperature taken upon arrival, to help reduce the likelihood of bringing Covid-19 onto facility grounds.
  • Should a attendee have a temperature of 100.4 or above, he/she will not be allowed to attend the event and will receive a full refund.

Other:

  • Each attendee and staff will receive a daily temperature check prior to participation in the daily events.
  • Should a camper or staff come down with symptoms of Covid-19, including a temperature of 100.4 or above, he/she will be required to exit the property immediately. They will receive a refund prorated for the time they have been at the event.

Lastly, the CDC has identified a list of pre-existing conditions that can lead to a greater risk of serious complications from Covid-19.  Although this risk still may be very small, we are asking that any attendees with any of the preexisting conditions identified on the CDC website https://www.cdc.gov/coronavirus/2019-ncov/need-extra-precautions/groups-at-higher-risk.html not to attend this years Woodshed Guitar Experience.

We all understand, that no plan is perfect, and ultimately, you all need to make your own decision and feel comfortable attending the Woodshed Guitar Experience.  Please do your own due diligence and know we respect every one of you and whatever you choose to do.
